Email Best Practices
Communicating with your Club/SIG audience is a vital operation. Below are actions to assist in your outreach efforts.
Event Email Marketing
Additional Email Outreach for Consideration
Annual Message from the Club/SIG President – Consider adopting the tradition of having the Club/SIG President send a message to your Club/SIG audience. The content of this message can include: a summary of the Club/SIG events and activities, a few photos of the past year, and a call to action (become a volunteer, participate in our next volunteer election, or join us at an event). This communicates to your Club/SIG audience the value the HLSA brings into their lives.
Annual Meeting or Club/SIG Volunteer Board Elections – When your Club/SIG hosts its annual meeting or volunteer board elections, consider a thorough message about the business that will be conducted and clear details on how to participate. Following the annual meeting or volunteer board elections, consider sending a follow-up note to share the accomplishments of the gathering or election.
Available Tools to Club/SIG Volunteers
While all Club/SIG email communications are to be conducted through AlumniMagnet (HLSA Operational Guidelines II.7 Communication), the following outlines additional efforts for communicating:
- Post the event on your Club/SIG social media accounts (if you have them) or post on the official HLSA social media channels. HLSA volunteers are encouraged to use these channels for communicating.
- Leverage other Clubs/SIGs. If your event email may be of interest to another Club/SIG audience, consider reaching out to that Club/SIG President to share the details with them. All Club/SIG President contact information is in the Directories tab.
- Leverage your personal HLS alumni network. You and your peers volunteering for the Club/SIG will have a wide range of HLS alumni friends and classmates. Consider the practice of sharing HLSA email communications with a few peers to encourage them to participate in a future event, volunteer opportunity, or to subscribe to the Club/SIG website.
